Federal Workers' Compensation in Kansas City: What Medical Documentation Should Explain

Federal employees searching for a federal workers' compensation doctor in Kansas City often need help understanding the medical side of an OWCP claim. A form listing symptoms is not the same as a report explaining a diagnosis, examination findings, and any medically supported relationship to work.
This guide explains the clinical role of documentation. It is not a checklist that guarantees acceptance, and it does not replace official OWCP instructions.
Start with the difference between an incident report and medical evidence
Your account describes what happened or which duties you believe contributed to the condition. The provider's report describes what was evaluated and what the clinical evidence supports. Both matter, but a clinician should not state that work caused a condition merely because a patient requests that wording.
Our OWCP medical care program focuses on evaluation, treatment, and applicable healthcare-provider reports.
What a useful clinical report may address
- History: the reported incident or exposures, symptom onset, job duties, and relevant prior conditions.
- Diagnosis and findings: examination results and any clinically appropriate testing supporting the assessment.
- Medical reasoning: when supported, an explanation of how specific work factors caused or aggravated the diagnosed condition.
- Treatment and function: recommended care and medically supported activity restrictions, with follow-up assessment.
A diagnosis code by itself does not explain causation. Similarly, imaging may help establish a condition but does not automatically prove that federal employment caused it. The explanation needs to fit the individual history and clinical findings.
CA-1 and CA-2: different purposes
The Department of Labor identifies CA-1 as the notice for traumatic injury and CA-2 as the notice for occupational disease. The distinction involves how the condition developed; it is not determined simply by whether pain is severe. Follow official instructions and your agency's process when deciding which filing applies.
See our common OWCP forms guide for links to the official forms. Some notices, benefit requests, and supporting submissions have different deadlines. Do not assume one deadline applies to every part of a claim; consult the current DOL instructions promptly.
What the clinic can and cannot do
Our providers can assess symptoms, recommend care, document clinical findings, and provide medically supported opinions and applicable provider forms. Patients remain responsible for their filings, and agencies have their own responsibilities.
OWCP independently evaluates the evidence and determines acceptance and benefits. No clinic can promise that a report will secure approval, compensation, or a particular return-to-work outcome. Medical recommendations and coverage authorization are also separate questions.
Preparing for follow-up
Keep relevant OWCP letters, your claim number, and a record of symptom changes. Bring requests for additional medical information to your provider so they can assess what clinical information is available. Report both improvements and ongoing limitations accurately.
